Meeting Sync for Calendly ("the App") is operated by ASC Intellistack. This policy explains what we collect when you install the App and how we use it.

Data we access

Zoom: meeting metadata (ID, topic, host, start/end), past-meeting participant names and emails, cloud recording transcript files and share links, AI Companion meeting summaries, and the installing user's name and email.
Calendly: scheduled event details, invitee name, email, and booking-form answers, delivered by webhook.
HubSpot: we read contacts and owners to match records and write Meetings, Notes and Tasks.

How we use it

Solely to log meeting outcomes into your own CRM. We do not sell, share, or use your data for advertising or model training.

Storage and security

OAuth tokens and API keys are encrypted at rest (AES-256-GCM). Transcripts and summaries are held only as long as needed to sync (and, if you enable transcript logging, stored for up to 90 days for troubleshooting). Recording media files are never downloaded or stored. Data is hosted in the United States.

Retention and deletion

Meeting sync records are purged after 90 days. When you uninstall the App from Zoom, all tokens and customer data are deleted immediately. You may also request deletion at support@americanscreeningcorp.com.

Subprocessors

Cloud hosting provider (compute and managed PostgreSQL). Zoom, Calendly and HubSpot act under their own policies.
